# Billing and Invoice Automation Settings

G2Mint can audit carrier bills, approve customer invoices, and send those invoices to your customers automatically. This article explains each setting that controls it and how they work together.

All of these settings are under **Default Settings**. To access them, click your profile in the top right, then select Default Settings. Most settings can also be overridden on an individual customer or carrier account.

**Before you start**

- **Invoice approval** starts once you add a [Margin Threshold](https://help.g2mint.com/en/g2mint-user-guide/billing-and-invoice-automation-settings#margin-threshold) for a mode.
- **Automatic invoice sending** starts once you save your own [Invoicing Processing](https://help.g2mint.com/en/g2mint-user-guide/billing-and-invoice-automation-settings#invoicing-processing) settings.
- **Amounts:** enter whole numbers for dollar and percentage amounts (for example, 12% rather than 12.5%).

**Carrier Bills (Payables)**

### 1. Audit Threshold Carrier bills

**What it does**  
Sets how far a carrier bill may differ from the expected cost and still be approved automatically, so your team only reviews the bills that need a second look.

**What to set**  
Modes, carrier (optional), Applies To (Linehaul, Fuel Surcharge, Accessorial, or Total Cost), and an amount in $ or %. For a %, you can add a Max $ cap.

**How it works**

- Within tolerance: the bill is approved and the cost moves to **Approved**.
- Outside tolerance: the bill goes to **Audit Review** for someone on your team to check.
- The tolerance applies whether the bill comes in over or under the expected cost.
- A carrier-specific row overrides the general row for that carrier.
- Corrected, supplemental, and balance-due bills always go to **Audit Review**.

### 2. Billing Triggers Carrier bills

**What it does**  
Decides when an approved carrier cost becomes **Ready To Pay**, so carriers are paid once the load is delivered and the paperwork is in.

**What to set**  
Modes, BOL Status (for example, Delivered), and a Required Document (POD or BOL).

**How it works**

- The cost moves to Ready To Pay once all three are true: the bill is approved, the BOL has reached the status, and the document is uploaded.
- If the document is deleted or the bill is reopened, the cost moves back to **Approved**.
- A carrier account can use its own triggers by turning off “Use Default Settings”.

### 3. Billing Processing Carrier bills

**What it does**  
Sets your carrier payment terms, so every bill gets the right due date.

**What to set**  
Net Terms (days), Quick Pay, and Quick Pay Net Terms.

**How it works**

- The bill's due date is the received date plus Net Terms.
- With Quick Pay on, a quick-pay due date is also set from Quick Pay Net Terms.
- Terms set on the carrier account take priority over the default.

### 4. Charge Settings Carrier bills

**What it does**  
Decides what happens to the customer charge when an approved carrier cost comes in above the expected cost, so your margin is handled the way you want.

**Options**  
**None:** the customer charge doesn't change.  
**Pass Along:** the cost difference is added to the customer charge.  
**Auto Update Client Charge:** the charge is re-rated with the customer's markup.

**How it works**

- If the invoice has already been sent, a supplemental charge is created instead.

**Customer Invoices (Receivables)**

### 5. Margin Threshold Customer invoices

**What it does**  
Turns on automatic invoice approval for a mode, and sets the minimum profit an invoice needs to approve on its own.

**What to set**  
Modes, Applies To (Linehaul, Fuel Surcharge, Accessorial, or Total), and a minimum profit in $ or %. For a %, you can add Min and Max $ limits.

**How it works**

- Invoices approve automatically only for modes that have a Margin Threshold row. No row means no invoice automation for that mode.
- When the [Invoicing Triggers](https://help.g2mint.com/en/g2mint-user-guide/billing-and-invoice-automation-settings#invoicing-triggers) are met, the margin is checked:
    - Below the threshold: the invoice goes to **Audit Review** and stays there until someone approves it. An invoice approved this way isn't checked against the threshold again.
    - At or above the threshold: the invoice is approved automatically.
- An amount of 0 means break-even or better.

### 6. Invoicing Triggers Customer invoices

**What it does**  
Decides when an invoice is checked against the margin threshold and approved.

**What to set**  
Modes, BOL Status, Cost Status (usually Approved, meaning the carrier bill has passed audit), and Required Document(s).

**How it works**

- Until the BOL status and cost status are met, the invoice is left alone.
- Once they are met and the margin passes:
    - Required documents on file: the invoice goes straight to **Ready To Invoice**.
    - A document missing: the invoice sits in **Approved** and moves to Ready To Invoice as soon as the document (for example, the POD) is uploaded.
- A customer account can have its own triggers instead of the defaults.

### 7. Invoicing Processing Customer invoices

**What it does**  
Sends **Ready To Invoice** charges to your customers on the schedule you choose.

**What to set**  
Type (individual invoices or a statement), Frequency (Manual or a schedule), and Net Terms.

**How it works**

- A daily run sends the Ready To Invoice charges on the chosen schedule, and they move to **Processing**.
- Manual means invoices are never sent automatically.
- Net Terms sets the invoice due date.
- A customer account can have its own schedule and terms.

**8. End-to-End Flow**

1. The carrier bill is audited and the cost moves to **Approved** or **Audit Review**.
2. Once the BOL status and cost status triggers are met, the margin is checked and the invoice moves to **Audit Review**, **Approved**, or **Ready To Invoice**.
3. Uploading the POD moves an Approved invoice to **Ready To Invoice**.
4. The scheduled run sends the invoice and it moves to **Processing**.
5. Separately, the carrier cost moves to **Ready To Pay** once its billing triggers are met.
